Last updated: August 29, 2026. This Privacy Policy explains how SealMe (“we,” “us,” or “our”) collects, uses, stores, and shares personal information when you visit our website, request access, create an account, or use the SealMe platform and desktop application.

1. Information We Collect

We may collect information you provide, including your name, work email, account details, workspace information, client and deal data, contract templates, generated contracts, signatures, and messages sent to us.

When SealMe is used during a Zoom or Google Meet call, we may process meeting details, participant names, audio required for transcription, transcripts, summaries, client information, pricing, services, deadlines, and other agreed terms.

Raw audio is not permanently stored on SealMe servers. It is processed to create a transcript, although our meeting and transcription providers may temporarily process it under their own policies.

If you connect Google Calendar, we may access event titles, meeting links, times, and participant display names. We also collect limited technical information such as IP addresses, login activity, device information, and security logs.

2. How We Use Information

We use information to create and secure accounts, provide meeting and calendar integrations, transcribe calls, identify agreed deal terms, generate contract drafts, collect electronic signatures, send service emails, prevent misuse, improve SealMe, respond to inquiries, and comply with legal obligations.

SealMe acts as a data controller for account, website, security, and communication data. When customers use SealMe to process their own calls, clients, transcripts, and contracts, SealMe generally acts as a data processor on their behalf.

Where the GDPR applies, we rely on performance of a contract, legitimate interests, consent, or compliance with legal obligations as the applicable legal basis.

3. AI Processing

SealMe uses AI and transcription services to convert speech into text, extract client and deal information, create call summaries, and prepare contract drafts.

AI-generated content may contain errors or omissions and should be reviewed before being sent, relied upon, or signed. Customers remain responsible for contracts sent through their workspace.

SealMe does not train its own general-purpose AI models using customer calls, transcripts, contracts, or client information.

4. Sharing and International Transfers

We may share information with trusted service providers used to operate SealMe, including Vercel for hosting, Neon for database hosting, Anthropic for AI processing, Deepgram for transcription, Recall.ai for meeting capture and transcription, Google for login and calendar integrations, and Resend for transactional emails.

Some providers may process information outside the European Economic Area, including in the United States. Where required, we use appropriate contractual or legal safeguards for international transfers.

We may also disclose information when required by law or when necessary to protect SealMe, our users, or others. We do not sell personal information.

5. Data Retention and Security

We retain information for as long as reasonably necessary to provide SealMe, maintain security, comply with legal obligations, and resolve disputes. Account, workspace, transcript, deal, contract, signature, and audit information may be retained while the relevant workspace remains active or until a valid deletion request is processed.

We use safeguards designed to protect information, including HTTPS, secure database connections, hashed passwords, optional two-factor authentication, access controls, rate limiting, audit logs, and infrastructure-level encryption at rest. No online service can guarantee complete security.

6. Call Notice, Consent and Cookies

Customers are responsible for providing any notice and obtaining any consent required before recording, transcribing, or processing a call. The SealMe Notetaker appears as a visible meeting participant, but its presence may not replace additional notice or consent required by law.

SealMe uses strictly necessary cookies and local storage to keep users signed in, secure authentication, remember temporary onboarding information, and save interface preferences. We do not currently use advertising or marketing cookies within the application.

7. Your Privacy Rights

Depending on your location, you may have the right to access, correct, delete, restrict, object to, or receive a portable copy of your personal information, withdraw consent, and lodge a complaint with a data protection authority.

To exercise these rights, contact Ivan@sealme.net. If we process your information on behalf of a SealMe customer, we may refer your request to that customer.

8. Children, Changes and Contact

SealMe is a business service and is not intended for children under 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy when our services, providers, or legal obligations change. The latest version will be published on this page with an updated date.
